What is Digital Transformation?

Sometimes it's simple!
A customer who was using Google sheets, needed to speed up their process of writing to confirm to customers of their pending installation date.
Their process was simple, one member of staff would look through the google sheet that managed installs and find those that hadn’t been emailed.
The user would copy the customer details into a template document, change the installation date, post date and name of the letter.
They would then saved the document as a PDF, open a standard email template, attach the created PDF, copy over the email address and send to the customer.
Finally they would mark the email as sent on the original sheet.
When they started this was taking some one a few hours a week. When they called Solity it was a persons full time job. With over 150 installs a week it became a massive Job. No only time consuming but prone to errors with the wrong dates being sent to the wrong customers and even the wrong installation letter being sent to the wrong customer.
Solity Digital Transformation
There were lots of potential ways to digitally transform this process, although it was mostly electronic it was still a mind numbing manual task.
The perfect solution was to develop a CRM solution that would automate the process, but this would take time and was outside the customers budget.
Solity got there thinking caps on and came up with a cost effective solution.
We recreated the layout of the original sheet that handled the installations. This would allow the user to copy records of customers to be installed from one sheet to the other.
We then designed a template Google Doc that was laid out exactly as the customer needed.
Next we created a google email account that would alias the customer email account.
Finally we wrote a few Google App Scripts to step through the records on the new sheet, automatically gathering the data and producing a perfectly formatted letter in PDF format, then creating a standard email and attaching the new PDF, finally emailing the customer.
This simple automation changed a fulltime job to a role that takes 15-20 minutes a day. We are now working with the customer to build them they perfect CRM solutuion.
